Description

The Soulsville Charter School, which shares a South Memphis campus with the Stax Museum of American Soul Music and Stax Music Academy, is seeking a Director of Operations, whose work will focus on excelling in problem solving and desire to provide only the highest quality education for students.

JOB DESCRIPTION

POSITION TITLE: Director of Operations – The Soulsville Charter School

REPORTS TO:         Executive Director, The Soulsville Charter School

POSITION:               The Soulsville Charter School, full-time regular, exempt

KEY BUCKETS:

  • Embody and advocate the mission, vision, and strategic direction of TSCS.

Federal Programs Compliance and Regulations

  • Manage, implement, and monitor federal programs within TSCS in alignment with actions required by Memphis Shelby County Schools’s Office of Federal Programs (e.g., Title 1 Coordination)
  • Schedule, implement, coordinate follow-ups associated with all required health screenings
  • Facilitate and implement compliance requirements as needed (e.g. Office of Civil Rights reporting, State Transportation reporting).
  • Maintain the accuracy of TSCS’s graduation cohort data so that our official grad rates are accurate.
  • Ensure TSCS stakeholders take appropriate action on Charter Chatter (Office of Charter Schools)
  • Represent school at appropriate state and local charter school events and meetings
  • Ensure all school accountability data is being kept, revised, and recorded regularly and accurately (e.g., EIS enrollment data for funding purposes)
  • Oversee “senior closeout” with grades, transcripts, etc.
  • Oversee End of Year Closeout with grades, transcripts, etc.
  • General: Ensure compliance with federal, state and local regulations and policies

Human Resources

  • Oversee and direct human resources matters including payroll (submission of required information to Soulsville Foundation CFO and COO), new hire process, benefits programs, background checks, fingerprinting, employee departure process, FMLA, and ACA reporting.
  • Appropriately maintain personnel files.
  • Develop and assist with the implementation of policies and procedures for TSCS. Work with appropriate staff to maintain and update Staff Reference Guide.
  • Provide advice to supervisory staff and employees on the interpretation and application of human resources policy and procedures, disciplinary matters and management issues
  • Review, revise and implement a uniform mid-year and annual performance evaluation system for appropriate personnel (Main Office, IT, Vendors).
  • ●      Act as liaison between TSCS and the Shelby County Schools district and the State Department of Education
  • ●      Manage claims associated with insurance and liability. Communicate with the Soulsville Foundation CFO and COO as needed.
  • Maintain records of teacher licenses and licensure status.

Safety and Security

  • Maintain and update TSCS’s Emergency Response Plan on the school and district levels and communicate updates to stakeholders, including, but not limited to, school staff, families, school district, campus staff, safety officials (Memphis Police Department, Memphis Fire Department, etc.).
  • Create, enact, and document TSCS’s safety drills in accordance with district requirements and state law.
  • Create, maintain, update, and communicate protocols related to drills.
  • Assess, advocate, and manage security needs for TSCS with the security service providers.
  • Oversee systems related to security and the review, revision and implementation of security policy, initiating crucial conversations and calls to action around school safety.
  • Manage current systems and the efficiency of those systems including campus ID badges and visitor check in.
  • Serve as an emergency contact for alarm system and emergency services for TSCS.
  • Research, implement, and update school communications channels for urgent and emergency situations (e.g. School Messenger, TeacherEase)
  • Initiate, secure, and communicate the decisions regarding all urgent and emergency situations regarding safety, including school closings and lockdowns. Alert campus personnel of urgent and emergency situations regarding students and staff.
  • Work with facilities manager to ensure that the building is safe and properly outfitted (e.g., entryway mats and lockdown shades)
  • Ensure that no volunteer interacts with children without the appropriate level of screening.
  • Coordinate and communicate with the Soulsville Foundation CFO and COO as needed to ensure that school needs area aligned with Foundation goals, policies and procedures.

Vendor Management

  • Work with vendors to ensure that we are a priority our needs are being appropriately met.
  • Oversee all vendor relationships and renewals.
  • Coordinate and communicate with the Soulsville Foundation CFO and COO as needed to ensure that school vendor needs area aligned with Foundation goals, policies and procedures.

Food Service

  • Oversee the school lunch program, advocating for TSCS’s needs while serving as a liaison between school and district personnel.
  • Oversee and ensure compliance with the requirements of all food programs, including the summer lunch food program and the snack program.
  • Oversee provision of food for stakeholders for special events.

Information Technology

  • Oversee IT vendors: solutions and management services for TSCS.
  • Ensure the smooth operation of teacher workroom machines (e.g., copy machines, poster makers, electronic staplers, etc.) and phones. Communicate lapses in service in a timely manner.
  • Set and change bell schedules according to daily, weekly, and monthly needs.
  • Coordinate and communicate IT needs with the Soulsville Foundation CFO and COO as needed to ensure that school IT vendors remain aligned with Foundation goals, policies and procedures.

Internal Operations

 Facilities/Space Management

  • Ensure school materials (e.g., books, furniture, and equipment) are properly stored and accessible when needed
  • Ensure that all common and undefined spaces on campus remain clean and clutter free
  • Ensure that vendors appropriately prepare the facility for the new year, i.e., the facility is clean, paint is touched up, and furniture is removed and replaced in an orderly way. Ensure that the building is properly maintained during the school year.
  • Manage securing space, setup (chairs, tables, audio-visual, etc.) for whole-school and group gatherings (meetings, drills, etc)
  • Notify TSCS staff of campus hours and changes in parking needs.
  • Coordinate and communicate both facilities and space management needs with the Soulsville Foundation CFO and COO as needed to ensure that school and overall campus needs are synergized.

Supervise Office Manager and the office staff in:

  • Oversee the creation, compilation, and distribution of progress reports, report cards, and weekly reports.
  • Direct the purchase and distribution of school uniforms.
  • Oversee the handling of student billing.
  • Work with staff to oversee school-based student fundraising initiatives
  • Student and Staff Recruitment
  • Manage procurement and inventory (e.g., textbook acquisition, equipment purchases, etc.). Coordinate the purchase of goods and services for the school (tech and non-tech equipment and furniture). The school office will order office supplies, Sam’s, and buses

General

  • Work with School Directors to manage Beginning of Year check-in and End of Year checkout internally
  • Assist in planning and presentation of new teacher orientation
  • Work with appropriate staff to maintain and update Staff Reference Guide
  • High school graduation: oversee diplomas from Shelby County Schools, programs, and security
  • Oversee and support the Athletics Director/department’s operations
  • Maintain the Reservation Calendar for the Multi-purpose Building (MPB) for the entire Soulsville Campus. Serve as the point person.
  • Schedule with staff of non-curricular school programs such as speaker programs, special events, and trips
  • Develop and communicate school operations systems, policies, and procedures.
  • Complete other duties as assigned by the Executive Director
