SUMMARY: The Education Programs Administrative Assistant at the Soulsville Foundation plays a vital organizational role in supporting the educational mission of the Soulsville campus, including the Stax Museum of American Soul Music (SMASM), as it continues to evolve from a tourist destination to an engaged, dynamic, and collaborative site focused on Stax Records history and arts-enhanced education. This role serves as the logistical backbone of the Education Department, primarily coordinating and providing administrative support for educational initiatives at SMASM, including school tours, monthly Family Days, exhibit panels, and program supply management, with occasional program facilitation.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Tour Coordination & Scheduling: Serve as the primary point of contact for schools, after-school programs, and community groups booking visits to the Stax Museum; manage the master education calendar, coordinate tour logistics, and conduct occasional tour facilitation for both self-guided and guided experiences.
- Family Day Logistics: Plan, coordinate, and oversee the monthly logistics for SMASM’s Family Day; manage vendor relationships, schedule activities, and ensure smooth execution of community-facing weekend events.
- Exhibit & Guest Panel Management: Coordinate logistics for SMASM’s exhibit programming, including researching, inviting, and managing communication with panel guests, lecturers, and community stakeholders.
- Supply & Inventory Operations: Source, purchase, organize, and maintain inventory of all crafts, materials, and supplies necessary for youth development classes, Soul Enrichment classes, and community education programs.
- Program & Event Support: Provide administrative and logistical support for youth-led initiatives, student events, and workshops at the Stax Music Academy (SMA) and SMASM, embedding basic components of Social Emotional Learning (SEL) into program coordination.
- Stakeholder Collaboration: Work closely with Soulsville staff, institutional stakeholders, and neighborhood partners to streamline communication and ensure all educational programming runs efficiently.

- Perform other reasonable administrative and coordination duties as assigned by the Director of Education and Youth Development or other senior staff.
QUALIFICATION REQUIREMENTS
Education and Experience:
- Bachelor’s Degree in Arts Administration, Education, Museum Studies, Business Administration, or a related field.
- Minimum of three years of paid, relevant experience in program coordination, administrative support, or logistics within a museum, school setting, non-profit, or arts/humanities organization.
- Demonstrated experience managing complex calendars, public scheduling, or large-scale event logistics.
- A working knowledge of (or strong desire to learn) the history of Stax Records, Soul music, American popular music, Memphis history, and the Civil Rights Movement.
Computer Skills:
- Proficiency with PC or Mac platforms; high competency in online calendar management tools (e.g., Google Calendar, Outlook).
- Proficiency with Microsoft Office (Word, Excel) and digital technology; familiarity with project management software, WordPress, or registration platforms is a plus.
